Customizing Dropdown Lists
Many fields in Service Envoy are dropdown lists: a contact's Department and Title, an address's Department, a website's Category, and more. Service Envoy keeps a shared set of values for every list. On the paid plans, some lists also let your company add values of its own.
Shared values and your own values
Shared values come from Service Envoy and every company sees them. Forms and workflows rely on them, so they can't be renamed, turned off or deleted from your account. They show a Shared badge.
Your own values are ones your company added. Only your company sees them, and only your company can change them. They show a Your company badge.
Service Envoy decides which lists can be customized. A list that can be shows a Customizable badge on the Lookup Tables page. Lists that drive how tickets, site visits and payments move along stay locked, so a value the system doesn't recognize can never stall your work.
Adding a value from a form
Admins, project managers and accounting can add a value without leaving the form. Open the dropdown, type the value, and choose Add "…" at the bottom of the list. The new value is selected for you and is available on every form from then on. If the value already exists, the dropdown simply selects it.
Managing your values on the Lookup Tables page
Go to Admin → Lookup Tables and click a list to open its values.
Add Value adds one of your own values.
Edit (pencil) renames a value, changes its sort order, or turns it off. When you rename a value that your records already use, you're asked whether to update those records too. Choose Update … Records Too so your old contacts, addresses and other records show the new name. Only your company's records change.
Delete (trash) removes a value. If any of your records still use it, pick a replacement from the list first. Those records switch to the replacement, then the value is deleted. A contact that already has the replacement simply drops the old one.
Turning a value off hides it from the dropdowns but keeps it on the records that already have it. Use this when you want to stop using a value without changing old records.
Plans
Adding and managing your own values is included with the Service Company and Service Company Employer plans. If your company moves to the free Marketplace Essentials plan, the values you added stay on your records and in your dropdowns, but you can't add, change or delete them until you upgrade again.
Skills and tools
The skills and tools that technicians list on their profiles, and that clients and site visits can require, come from two shared lists on the same page: the Skills Catalog and Tools tabs (admins see the Tools tab). Service Envoy maintains these lists for every company, so everyone matches technicians against the same names. Both are sorted A to Z.
Missing something? Click Suggest a skill or Suggest a tool, enter the name, pick a category (or suggest a new one), and add a note if it helps. Technicians can also suggest from their profile with Can't find it? Suggest a skill or Can't find it? Suggest a tool. Service Envoy reviews every suggestion. An approved one is added to the list for every company. Nothing you suggest can be used until it is approved.
Common questions
The list I want to change doesn't say Customizable.
That list is set by Service Envoy because other parts of the system depend on its values. Contact Service Envoy support to suggest a new value.
Will other companies see the values I add?
No. Your values are visible only to your company. Service Envoy may add a popular value to the shared list for everyone. If it does, your copy is merged into the shared one and your records keep working.
