Using the In-App PDF Editor
Fill out and sign work orders right on your phone or tablet

The in-app PDF editor lets you fill out and sign a work order — or any PDF — right on your phone, tablet, or computer, without printing or downloading anything. You draw, type, and capture signatures directly on the document, then save a finished copy to the site visit's Deliverables on the files tab. It works with a finger, a stylus, or a mouse.
1. Opening the editor
The editor opens from a Fill out PDF task on a site visit:
Open the site visit and go to the Tasks tab. It can also be found on the files tab, and the check out form.
Find the task that has a PDF template attached and tap Fill Out PDF.
The PDF opens full-screen in the editor.
If you've already filled it out once, the button reads Edit Completed PDF — tapping it reopens your saved copy with all of your previous marks, text, and signatures still in place, so you can pick up right where you left off.
2. The toolbar
Across the top you'll find these tools. Tap one to select it — the highlighted tool is the one that's active. The editor opens in Move mode on purpose, so a stray touch can't accidentally draw on the page.
Move (the hand) — Pan around the page freely. Drag an empty part of the page to scroll it; drag a text box or signature to slide it into place. You can also pan and zoom without switching here — the Text and Sign tools scroll the same way.
Draw (the pencil) — Freehand pen for checkmarks, circles, and notes. When Draw is active, pick a color and a line thickness (1–8 px) from the toolbar. On a touchscreen, use two fingers to pan while Draw is selected.
Erase — Drag over any pen strokes to remove them. (Erase only affects freehand drawing — remove text boxes and signatures with the small red × at its top-right corner instead.)
Text — Tap anywhere on the page to drop a text box, then type. Tapping places; dragging pans — drag the page to scroll and pinch to zoom while Text is still selected, so you can work through a form full of blanks without ever changing tools. The box wraps your text and expands as you type, so you always see the whole note. Tap a box to edit it again and the cursor drops straight into it — no double-tap needed, and choose a font size (10–20 pt) from the toolbar. Drag the box by its middle to line it up with the form's blanks, and drag the blue handle at its bottom-right corner to make it wider or narrower — taller or shorter. The height adjusts to the text automatically. To get rid of a box, tap the red × at its top-right corner.
Sign — Capture a signature (see the next section). Like Text, tapping places and dragging pans.
Undo / Redo — Step backward or forward through your changes.
Save — Finish and save the completed PDF (see "Saving your work").
3. Capturing a signature
Tap Sign, then tap the spot on the page where the signature belongs. A clean signature pad opens — sign with your finger or stylus, and it drops onto the page where you tapped. This is how you collect both the technician's and the manager's / customer's signatures on a work order. Add as many signatures as the form needs.
Once a signature is on the page, drag it by its middle to move it — in any tool — and drag the purple handle at its bottom-right corner to resize it so it fits the signature line it belongs on. Resizing keeps the signature's shape, so the ink never stretches or squashes. Remove one with the red × at its top-right corner.
4. Moving between pages and zooming
For multi-page PDFs, use the page arrows to move between pages — the editor shows which page you're on (for example, "Page 2 of 2").
On a touchscreen, pinch to zoom in and out. Zoom in to sign or write neatly in a tight space, then zoom back out to see the whole page.
In Move, Text, or Sign, one finger drags the page around and two fingers pinch-zoom — no tool switching needed. Only Draw and Erase claim a single finger for marking, and even they pan with two fingers.
5. What gets filled in for you
To save you typing, the editor can pre-fill details it already knows — your name as the technician, the visit's arrival and departure times, and today's date. Always double-check these against the form and adjust anything that doesn't match.
6. If the editor won't work on your device
Below the Fill Out PDF button there's a link: "The editor isn't working on my device." Use it when you genuinely can't complete the form in the editor — it lets you upload the finished work order instead:
A completed PDF you filled out in another app, or
Photos of a paper copy — if you (or the client) filled out a printed work order by hand, photograph each page and upload the pictures. They're combined into one PDF for you automatically.
You'll be asked to pick a reason — the editor wouldn't load, you couldn't sign on your screen, you filled out a paper copy on site, and so on. Answer honestly: the reasons feed directly into what we fix, and "paper copy" is a perfectly good answer, not a confession. The uploaded file satisfies the task and lands in Deliverables exactly like an editor-completed one.
A blank PDF doesn't count. Saving the template untouched — no marks, no text, no signatures — no longer satisfies the task, in the editor or as an upload. The form has to actually be filled out.
7. Saving your work
When the form is complete, tap Save to Deliverables. The editor permanently merges your drawing, text, and signatures onto the PDF and saves the finished copy to this site visit's Deliverables (find it on the visit's Files tab). Because it lands in Deliverables, it goes out with everything else — it's the copy that gets emailed, included in a share link, or uploaded as proof the work was done, so your external customer sees this version.
Nothing is saved to the site visit until you tap Save. Need to change something later? Reopen the task and tap Edit Completed PDF — your previous work reloads exactly as you left it.
8. If something goes wrong before you save
While you work, the editor quietly keeps a backup of your marks, text, and signatures on this device. If the page reloads, your browser closes, your connection drops, or a save fails, just reopen the same PDF on the same device within 24 hours — you'll see "Recovered your marks" and everything you had is put back. Review it and tap Save to Deliverables.
If a save fails, the error message tells you your marks are saved on this device. Reload the page if it asks you to, reopen the editor, and tap Save again. Closing the editor after a failed save does not throw the backup away.
If you close the editor on purpose without saving (and no save has failed), the backup is discarded — that's treated as "I don't want these changes."
The backup lives only on the phone, tablet, or computer you were using. It won't appear on a different device.
Tips
In Draw mode, scroll with two fingers (or switch to Move) so you don't leave stray pen marks.
Zoom in before signing or writing in small boxes for cleaner results.
Filling a form with many blanks? Stay in Text the whole time — tap a blank, type, drag to the next blank, tap again.
Use Undo rather than the eraser to take back the last thing you did — it's faster and more precise.
Put a text box in the wrong spot? Drag it by its middle rather than deleting and re-placing it. If you do want it gone, the red × at its top-right corner removes it — and Undo brings it back.
The counter at the bottom (strokes, text boxes, signatures) is a quick way to confirm you actually added what you meant to before saving.
