Receivables History
What you were owed on any date, and how it has changed
QuickBooks shows what you are owed today, but once an invoice is paid it drops out of its open-invoice reports, so you can't look back and see what was owed last month. The Receivables tab on the Reports page keeps that history for you.
How the history is kept
Every Friday at 5:00 PM, in your company's timezone, Service Envoy writes down everything you are owed at that moment and keeps it as a snapshot.
Connected to QuickBooks: the snapshot is read straight from QuickBooks: every open invoice, less open credit memos and payments not yet applied to an invoice. It matches the total on QuickBooks' A/R Aging report.
Not connected to QuickBooks: the snapshot uses the invoices you sent from Service Envoy (or marked invoiced) that are not yet fully paid, less payments you recorded that are not yet applied to an invoice.
Marketplace pay: if your company does Tech Marketplace work, pay Service Envoy still owes you for approved site visits is included as its own line.
Need a figure today? Choose Take snapshot now. Taking another one the same day replaces the earlier one, and the Friday 5:00 PM snapshot replaces one taken by hand earlier that day.
See what you were owed on a date
Pick a date under As of. You see the snapshot taken on that date, or the latest one before it, with:
Total owed to you, split into open invoices, credits and marketplace pay.
How late the open invoices were: Current, 1 to 30, 31 to 60, 61 to 90 and 90+ days late.
Every open item as it stood then: number, customer, date, due date and amount owed. Click a row to open its ticket or site visit, and use the table's export to download it.
Track receivables over time
Total owed to you over time charts every snapshot in the range you choose: Last Month, Last 90 days, This Quarter, Last Quarter, Year to date, This Year, Last Year or All time, or pick your own From and To dates. Hover a point to see that Friday's total.
Who can see it
Anyone who can view payments (the same people who can open Receive Payments).
History starts with your first snapshot; earlier dates show nothing.
