Employee Time Off Requests
Ask for a day or hours off, get admin approval, and block the calendar as REQUESTED OFF
Use the Calendar page to ask for time off. An admin approves it. Until they do, your calendar stays open. Once they approve, that window is blocked as REQUESTED OFF so dispatch does not schedule you during that date and timeframe.
Think of it like calling the shop and asking the owner to tape your name off the dispatch board for a window. The board does not change until they say yes.
Who can request
Anyone with a login except admins and read-only users, as long as the login is linked to an employee record — that is whose calendar gets blocked. Technicians, project managers, staff, accounting, and support can all request.
Time off requests are part of the Service Company and Service Company Employer plans, which include employees. On Marketplace Essentials the Request Time Off and Time Off Requests buttons don't appear.
Admins do not see the Request Time Off button on the calendar page. They already have New Event creation rights and can block a calendar themselves. Read-only users cannot request.
A time off request needs to be submitted for each calendar day. If you need multiple days off, you'll need to submit a separate request for each date.
How to request
Open Calendar and click Request Time Off.
Pick the date.
Pick a start and end time. Use this for a short window — for example a 3-hour appointment. Or check All day, which blocks 8:00 AM – 8:00 PM.
Add an explanation if you want. The explanation is not saved to the calendar event so other employees will not see your comments.
Click Send request.
After you send, a confirmation shows the date and hours, and the form closes. Your admin is emailed Approve and Deny buttons, and they also get an in-app bell.
If you already have work in that window
If the hours you pick overlap an assigned site visit or calendar event already on your calendar, the form warns you before you send so you can change the window. You can still send — the button becomes Send request anyway. Your admin sees the same warning and decides. Sending does not move or cancel those visits.
Pending requests
A request does not block the calendar until it is approved. Open Request Time Off again to see requests waiting for approval. You can Cancel a pending request from there.
You cannot submit a second request that overlaps a pending or already-approved window on the same day.
Approving (admins)
The email is the main path. Tap Approve or Deny from your inbox — you do not have to be signed in. The same pending list is on Calendar → Time Off Requests.
The email goes to every Owner (the same people who see the bell), and also to the company notification address if that is a different mailbox. If you only look at your personal inbox and the company uses a dispatch mailbox, check both — or look in Calendar.
Approving writes the REQUESTED OFF block on that employee's calendar for those hours. Denying emails the employee (you can include a note). The employee is emailed either way.
Scheduled work is a warning, not a lock. If they already have a site visit or calendar event in those hours, the email, the approve page, and Time Off Requests all say so. The button becomes Approve anyway. Service Envoy will not move or cancel those visits. Only approve if you can cover them with someone else, or if they can stay as-is.
Changing an answer (admins)
An answer is not final. Open Calendar → Time Off Requests, find the request under Recent, and click Change.
Approve — blocks that window as REQUESTED OFF, even if the request was denied or cancelled earlier.
Cancel — takes an approved block back off the calendar. Use this when the day is no longer needed and the employee is working after all.
Deny (with a note) — same as denying a new request, and the note goes to the employee.
Reopen as pending — puts it back in the queue as if it had never been answered, and removes any calendar block.
Approving re-blocks the calendar; every other status releases the block. The employee is emailed whenever you change an answer, so nobody is left believing a day is still approved after you release it.
Changing an answer does not move or cancel site visits, the same as approving does not. If you cancel someone's approved day off, their calendar simply reopens for scheduling.
What REQUESTED OFF looks like
An approved request appears on the in-app Calendar as REQUESTED OFF for the hours they asked for, on that employee's color. If Google Calendar sync is on and that employee is mapped, the same block syncs to their Google calendar.
Deleting the REQUESTED OFF event on the calendar cancels that approved request so the employee can ask again.
FAQ
I don't see Request Time Off.
Admins and read-only users do not get the button. Everyone else needs a login linked to an employee record. Admins use New Event instead.
Can I request several days at once?
No. One request is one day. Send another request for the next day.
What does All day block?
8:00 AM – 8:00 PM on that date. For a shorter window, leave All day unchecked and set start and end yourself.
I sent a request and nothing showed on the calendar.
That is expected until an admin approves it. Pending requests stay off the grid so dispatch still sees you as available.
I got a bell but no email.
The email also goes to the company notification address (often a dispatch mailbox). Check that inbox, and check Gmail filters. You can always approve from Calendar → Time Off Requests.
Approving time off didn't move their site visit.
Correct. REQUESTED OFF is a closed door for new work. Existing site visits in that window stay until an admin or Project Manager re-assigns them by hand.
The REQUESTED OFF block is not on Google Calendar.
It always appears on the in-app calendar. Google only gets it when Google sync is on and that employee has a Technician → Google Calendar mapping. See Calendar & Google Sync.
I approved the wrong request.
Open Calendar → Time Off Requests, find it under Recent, click Change, and pick Cancel. The REQUESTED OFF block comes off the calendar and the employee is emailed.
Can an employee change their own answered request?
No. An employee can cancel their own request while it is still waiting for approval. Once an admin has answered it, only an admin can change it.
